MGEN secures its health traceability and goes paperless by centralizing its HACCP data

Facilitating food safety for employees

Healthcare and medical-social sector

30 seconds Time required for a check upon receipt

0% Physical archiving volume (paperless)

100% Adoption rate by teams within 3 months

The essentials in brief: MGEN

The challenge

MGEN relied on a paper-based system to manage its Standard Operational Procedures. This cumbersome and time-consuming process led to numerous human errors, loss of critical information (illegible labels, misplaced documents), and an increasing administrative burden for field teams.

This organization complicated product traceability, undermined data reliability, and made remote supervision by management impossible. Faced with these structural limitations, MGEN had to upgrade its Standard Operational Procedures management system.

The solution

The deployment of the Eezytrace application on touchscreen tablets, coupled with connected printers to print best-before dates (BBD). The traditional cutting of labels has been replaced by a simple photo taken using the application.

The benefits

The adoption of Eezytrace has eliminated the burdens associated with paper: records are created in just a few clicks, without re-entry or physical archiving, which drastically reduces the time spent on administrative tasks.

The risk of errors and data loss has been eliminated thanks to the centralization and automatic securing of health information. Labels are legible, records are complete, and product traceability is instantaneous.

Management now has real-time visibility across all sites, enabling effective remote management. Teams are more confident about regulatory requirements, with a reliable, structured, and always up-to-date system.

Key results

Inspection time reduced to thirty seconds per product. Full adoption of the tool by a diverse team within three months. Permanent elimination of costs associated with physical archiving and the purchase of paper and ink needed to printself-check sheets, cleaning schedules, and other documents.

Modernization essential for patient safety

Replacing an outdated paper-based system to secure production

In an environment where food is an integral part of the care pathway, health safety cannot tolerate any approximation. Until recently, self-checks management relied solely on paper files. This system had significant operational limitations, generating particularly cumbersome physical archiving in offices. Manually entering temperatures or expiration dates proved to be a heavy burden for teams working under tight deadlines.

Chefs also encountered real difficulties in ensuring complete traceability for certain products. Cutting out and storing labels from cans or milk bottles was unhygienic, and the pieces of paper often ended up lost or dirty. Christine Amiran explains that recording these checks was very time-consuming and that, unfortunately, the data was not always complete. In addition, the lack of digitized data prevented management from having visibility over remote operations, making collaboration and supervision difficult.

Customized deployment of a digital solution

"I compared it with another solution, but Eezytrace suited us better because it could be customized to the maximum... The solution offers great flexibility in terms of configuration, allowing elements to be integrated that are fully adapted to the specific characteristics of the establishment."

To meet these challenges, management opted for the Eezytrace solution. This choice was motivated by the platform's exceptional ability to be customized to closely match Standard Operational Procedures . Instead of imposing a standardized operation, the tool was configured to integrate MGEN's specific recipes, products, and control habits.

The rollout was accompanied by the installation of suitable equipment, including touchscreen tablets for mobility in the kitchen and connected printers for generating perfectly clean secondary labels. To support the change, an educational approach was favored, with a period of dual traceability combining paper and tablets. This method reassured users. Given the application's particularly intuitive ergonomics, all employees quickly abandoned their filing cabinets.

A radical transformation of healthcare processes

With the adoption of this new tool, MGEN has centralized all of its health data, profoundly transforming the daily lives of its teams while raising its standards.

Reliable checks for complete peace of mind

All traceability information is verified instantly. The application acts as an intelligent assistant by immediately alerting agents when an abnormal temperature is recorded, forcing immediate corrective action. The laborious task of managing packaging has been revolutionized by the integration of photos. For all products, photographing the label has proven to be much more efficient, while also clearing work surfaces that were previously covered with cut-out cardboard boxes. During official inspections, the ability to instantly filter the digital history demonstrates the establishment's commitment and control.

Valued teams and easier management

The elimination of repetitive administrative tasks has freed up valuable time. Now, checking a product upon receipt takes just 30 seconds. This increased efficiency has had a direct impact on team morale. Agents are now much more responsive, no longer afraid to report errors and correct their entries without any apprehension. The tool, considered very user-friendly, has been unanimously approved by all generations of workers. Christine Amiran confirms that the experience is so enjoyable that her team would never go back. She strongly encourages her colleagues in the hospital sector to take the plunge. Management finally has a reliable remote management tool that guarantees an agile, modern organization that is perfectly aligned with public health requirements.

"It's so easy to use that we would never go back to paper... I strongly encourage my colleagues to take the plunge."
